Job Purpose

To provide assistance and support to the buyer with all administrative activities.

Responsibilities

Administration

  • Assist with billing of the claims with supplier
  • Ensure all price protections, price changes and adhoc deals provided by suppliers are tracked.
  • Ensure all articles are listed correctly
  • General system navigation necessary when dealing with queries
  • Communicating with Marketing and Finance teams with regard to rebates that need to be recovered.
  • Assist with invoicing of rebates to the networks and suppliers as per Commercials or Deal Letters and submitting required support documentation when required.
  • Assist tracking monthly recoveries based on agreed trading terms for each supplier.
  • Collating / reconciling all incentives with Suppliers and the Networks.
  • Manage weekly Supplier tracking performance ensuring that this is circulated to the buying team on a weekly basis.
  • Updating of all price changes and monitoring of Supplier pricing.

Vendor Management

  • Liaising with suppliers in the resolution of trading term queries as well as rebate disputes.
  • Maintain relationships with vendors
  • Delivery fulfilment

  • Follow through to ensure that personal quality and productivity standards are consistently and accurately maintained
  • Demonstrate consistent application of internal procedures
  • Plan and prioritise, demonstrating abilities to manage competing demands
  • Demonstrate abilities to anticipate and manage change

Requirements of the Job
Experience

Minimum 2 years’ experience as a Merchandise Administrator/Buying Assistant or Rebate Clerk or in a similar role

Minimum qualifications
  • Minimum Matric
  • Relevant tertiary qualification

  • Excellent Accounting / Reporting System Skills
  • Excellent MS Office Skills especially Excel.
